Adding Risk Data via Bulk Import

Risk - Core Data

If you are adding a Risk for the first time into Gatekeeper then it is important to understand the core data that is stored against a Risk. It is also possible to add custom data against a Risk, and this article discusses this in more depth. 

To view the data stored against a Risk, the simplest way to see this information is to visit the Bulk Import page. From the Risk Register select Add / Import Risk:

On the following page, scroll to the end and expand the Field by Field Import Rules section:

This will provide a summary of the data included. Note, any Custom fields will be dynamically added to this area.

Core Data Summary

The following fields are regarded as core, those with an asterix are mandatory:

Risk Name*

This is a title, or short description of the risk

Risk Type*

This helps categorise the risk - the list can be customised. 

Status*

Open, Closed or Accepted

Supplier*

This is the Supplier to whom the Risk is associated. The Supplier should exist within Gatekeeper before adding the risk. 

Probability*

The given probability that the risk will occur on a scale of Low, Minor, Moderate, Significant or High

Impact*

The given impact if the risk occurs on a scale of Low, Minor, Moderate, Significant or High

Owner

Who is responsible for the Risk. They should be a Gatekeeper User. 

Due Date

The date by which the risk is due to be closed, for example. 

Comments

Any additional commentary that may be useful to store against the risk.

Bulk Adding Data 

To add data via Bulk Upload from the Bulk Upload Page, you should first export your template. Note this will dynamically include any custom data fields you have added. 

The resulting .CSV should then be populated, following the instructions provided. Once the file is ready, this should be saved and then selected using the file picker:

Once the file has been selected, click the Upload icon. A summary of the import will then be provided for you to confirm ahead of actual import:

Select Import Data to finalise the import. On completion your Risks shall be available within the Risk Register and against the relevant Supplier record.  

Bulk Update Data

To Bulk Update, you can follow a very similar process to above:

  1. Export the data from the Risk Register:
  1. Within the .CSV file, you will note each record contains a Gatekeeper ID
  2. Update the data required, ensuring the Gatekeeper ID is maintained against the record
  3. Follow the import process detailed above
