Archive a Workflow Card

This article details the steps for archiving workflow cards, viewing archived cards, and restoring a previously archived card.

Archive a Workflow Card

In a workflow, cards can be archived when they are no longer relevant. This keeps the workflow area organised, without deleting the cards or their associated content.

  1. From the navigation menu, click Workflows.
  2. Click the relevant workflow to open it, then click the card you want to archive.
  3. From the Controls tab, click Archive.

Note: Only users with the Workflow Administrator additional permission, or Local Workflow Administrator access can archive cards.

View Archived Workflow Cards

Archived workflow cards can be viewed by applying the Archived Cards filter on the workflow board.

Archived cards will be listed with key details, including the date and time (GMT) of the action and the last phase name. You can configure the columns to display information such as the owner, contract, and vendor.

Restore an Archived Workflow Card

Cards can be restored from an archived state if required. To do this:

  1. Navigate to the relevant workflow.
  2. Select Archived Cards from the status filter.
  3. Click the name of the card you want to restore.
  4. From the Controls tab, click Restore.

The card will then return to the previous workflow phase.

Note: Only users with the Workflow Administrator additional permission, or Local Workflow Administrator access can restore cards.

Access Workflow Form Details

After a workflow card is archived, any completed form details remain visible in the associated contract or vendor record from the Workflow Forms tab.

Auto-Archive a Workflow Card

You can configure workflow cards to auto-archive after they’ve remained in the Done phase for a set number of days.

  1. Click the Done phase of the workflow to edit it.
  2. From Auto-Archive, enter the number of days you want cards to remain in the Done phase before auto-archiving.
