Introduction
In Gatekeeper, Workflows are our recommended way for you to structure your key Vendor & Contract management processes.
With Workflows, you can ensure all the appropriate steps are followed, tasks & approvals are performed in a repeatable & scalable manner.
Events in Gatekeeper are the less-structured approach to managing tasks for your Contract & Vendor processes. These are better to use when one-off instances of a task need to be performed.
i.e. They are generally assigned ad-hoc to a specific Contract/Vendor, not created for every record in your Gatekeeper tenant.
However, there can be times when these 2 approaches bisect.
And to make this easier for you to connect these 2 features, we've allowed you to embed Events in Workflows Cards.
With Events enabled in a Workflow card, users can create new Events while a Contract/Vendor is going through a structured assessment process, without having to leave the Workflow Card.
Users can also see existing Events, ensuring they have all the context possible while performing their workflow reviews.
Configuration
Visibility & interaction with the Events Sidebar is enabled on a phase-by-phase basis.
i.e. If, at some points in your Workflow, you do not want users to be able to see/edit Events, you can leave the below setting switched off for those Phases
Step 1) Click to edit a Workflow phase where users should be able to view/edit Events
Step 2) Below the description & checklist sections, enable Show Associated Events
Step 3) Hit ✅ Save to confirm
Suggested guidance
Since this feature is flexible & ad-hoc based on whether users see the need for an Event to be created or interacted with, we strongly recommend including guidance in Workflow Card:

Using Events on Workflows
Viewing Existing Events
For a Workflow Card which has a Contract or Vendor linked to the card, Gatekeeper will display any Events which are also linked to these records:
Multiple Records
If you have both a Contract and a Vendor linked to a Workflow Card, you can identify which record an Event is linked to by the Icon alongside the Event title:

Historical Events
NB. For a 'historical' view of Events, you can switch the Event Status dropdown from Live Events to Completed Events (Events which have already been closed) or All Events, showing both Live and Completed Events
Creating new Events
On a phase with the Events sidebar enabled (see the above required configuration), users can hit New Event to create an Event connected a record (Contract or Vendor) which is present in the Form*
*NB. If no record has been created or linked to the card (e.g. in a New Contract Request workflow where you haven't created a Contract Record yet), Gatekeeper will hide the Events tab
Closing Existing Events
For records with Events which are visible in the Workflow Card sidebar, users* can close these Events hitting Mark as Completed**:
*Only Phase Owners/Workflow Administrators can do this. Users added as Phase Collaborators cannot add/edit Events in the Sidebar
**Events requiring approval cannot be marked as Completed until the Approval has been provided by the specified Requires Approval user
FAQ 💬
Q: Who can create Events on Workflow cards?
A: Any user (regardless of their Repository permissions) will be able to view/create/edit Events in the sidebar menu.
However, they must be the owner of the Workflow Card. If they are a Phase Collaborator, they will only have "Read" permissions of all Events.
Q: Can Gatekeeper force users to create events?
A: Currently, no. But in a future release, we will allow Transitions to move cards based on Event actions, so you will be able to prevent a card moving until a user has created a new Event!
Q: Can Events trigger new workflow cards?
A: Currently, no. However, this will also be included in a future release!
