Introduction
The Reports area contains various pre-built reports related to contracts, vendors, teams, workflows, and more. These reports offer valuable insights that help track key performance metrics, monitor changes, and make data-driven decisions. To access reports, click Reports from the navigation menu, then click on the name of the report to open it.
Note: To access Reports, users require the Reports Additional Permission. This will grant them access to view all data within Gatekeeper, regardless of the Role and Permission they have been assigned.
Using Reports
Each report offers different functionalities depending on the type of data it presents. The following features are available in various reports:
- Filter - Narrow down results based on specific criteria such as contract type or vendor type.
- Configure Columns - Select which columns display in the data table.
- Export - Download the data as a CSV or PDF file.
- Date Range - Display data within a custom time frame.
- All vs. You Own - Display all records, or only records that you are the owner of.

Contract Reports
Name | Description | Example |
Contracts by End Date | Displays details of live contracts with an upcoming end date. This defaults to display contracts ending in the next month. | ![]() |

Contracts by Status Change | Displays any contracts that have changed status within the date range specified. This defaults to last month. | ![]() |
New Contracts Added | Displays any contract records created within the date range specified. This defaults to the current quarter. Note that this report includes all contracts regardless of status or date, so historic records that have been created within the time frame will be included. | ![]() |
New Contracts By Teams | Displays any contract records created within the date range specified, segmented by team. This defaults to the current quarter. Vendor Reports
Name | Description | Example |
Vendors by Value | Highlights the top 25 live vendors by value, with a bar chart and table containing details of their percentage contribution to the top 25 and total annual value. | ![]() |
Vendors by Status Change | Displays any vendors that have changed status within the date range specified. This defaults to last month. | ![]() |
Vendors RAG Status Over Time | Tracks the RAG status of vendors on a monthly basis, showing changes in performance over the previous year. This defaults to pipeline and live vendors. | ![]()

Risk Management
Name | Description | Example |
Red and Amber Status | Displays any live vendors with a RAG status of Red or Amber. Pipeline and archived vendors will not display in this list. | ![]() |
Spend Reports

Contract Encumbrances | Displays all contract-linked Spend for the specified time period. | ![]() |
Note: Spend is an add-on module, so this report may not be visible to all users.
Workflow Reports
Name | Description | Example |
Card Age | Displays metrics on workflow cards created within the specified timeframe. Cards created outside of the date range are excluded, regardless of status. When filtered for a specific workflow, a bar chart shows the number of open cards, average days spent on each phase, and whether this is above or below the SLA. |

Card History | Displays a list of all live workflows. After clicking View on a workflow it shows an audit history of all cards, including how many phases a card visited (and if it's sent back/forth), who owned it at each phase, and any actions (including approvals) taken and the user responsible for them. |
