Employee Portal: Efficient Intake and Contract Management

Join Daniel & James as they explore the critical challenges organisations face when handling incoming vendor and contract requests and share actionable strategies to turn intake into a strategic advantage.

In this webinar, they dive into the complexities of contract management, addressing common roadblocks such as:

  • Inconsistent intake processes leading to missing or incomplete data.
  • Siloed information creating inefficiencies across departments.
  • Manual approvals and bottlenecks delaying critical workflows.
  • Data visibility issues hampering real-time decision-making.
  • Scaling challenges as workflows struggle to meet growing demands.

Whether you're aiming to create a seamless intake process or optimise contract implementation workflows, Daniel & James provide insights and proven methods to help you build efficient, scalable systems that drive organisational success.

Q&A 💬

Q: Our requestors lose visibility of the contract request card once they submit it. Is there a plan to automatically add requestor as phase collaborators?

A: This can already be achieved! There's a setting called "Card Creator View Only Access" which can be enabled to ensure Card Creators retain complete oversight of forms they have previously submitted

(We showed how to enable this for a Workflow at [47:10] in the above recording)

Q: Is there a date ticker system alert available?

A: Yes. Within workflows, there are multiple ways you can keep your processes on track through automated reminders (Notifications: Email Reminders) or even with deadlines and escalations (SLA Timers)

While demonstrating a Vendor Onboarding process, these articles show how to use SLAs to prompt users about their deadlines, remind them before these deadlines pass, and automatically move cards over to a new phase in the event of a missed deadline

Q: Will this [Workflow AI Extract] read both word and pdf files?

A: Yes! Only PDF files will show the Document Preview alongside the form, but both are accepted by the workflow for data extraction

Q: The [My Open Forms] progress bar is not as useful for us because of how many workflow phases we have and how many contracts skip certain phases

A: If you hide phases from the progress counters, they will still display for cards that have visited a hidden phase.

This means you can hide phases which don't form part of a standard card's path, but ensure users get an accurate retrospective view of their card's progress history

Q: It would be nice to be able to bring more end points (i.e. custom fields) into the email notifications

A: This exists on our Ideas Forum - to get it into the development cycle, more upvotes are needed
