      We have some exciting updates that will simplify managing your vendors and contracts.

      This release includes new features that help you organise your documents, track vendor information, and automate more in your workflows.

      Gatekeeper & Microsoft OneDrive Integration

      Better Document Management

      What’s New?

      Gatekeeper now works with Microsoft OneDrive. This means you can edit your Gatekeeper documents directly in OneDrive (without downloading and re-uploading them).

      Here’s what this integration lets you do:

      • 📝 Edit Instantly: Open Word documents in OneDrive and immediately make changes without extra steps.
      • 🔄 Automatic Backup: Every edit is saved in OneDrive, so you always have a backup.
      • 🗂️ Stay Organised: Keep all your files in one place while still using OneDrive’s familiar features like commenting, tagging, and sharing.
      •   AI Assistance: Use Microsoft’s Copilot AI to assess contracts quickly, find key risks, compare templates, and suggest changes.

      Smart Forms Enhancements

      New Best Practice Workflows

      We’ve added two ready-to-use workflows that come with built-in Smart Forms to help manage vendor and contract reviews:

      • SIG Lite (Standardised Information Gathering): Helps collect and review vendor security and risk data.
      • ESG (Environmental, Social & Governance): Provides a structured way to check if vendors meet ESG standards.
      • DORA (Digital Operational Resilience Act) – Coming Soon: A workflow designed for EU businesses to ensure they follow digital security rules. Shared Assessments has developed this workflow to help meet the highest compliance standards.

      Better Smart Forms Insights

      • Historic Entries Tab: Now, you can see older entries in a Smart Form to track changes over time. This helps you spot trends and see how vendor or contract assessments have evolved.

      • Colour-Coded Scores: When you look at Smart Form scores in your repository list views, they’ll now show as Green, Amber, or Red. This makes it easier to see which vendors or contracts need attention.

      Workflow, API & Permissions Enhancements

      New Features to Manage Data and Workflows

      Our latest updates help you work faster by improving workflows, APIs, and user permissions. 

      API File Management

      • Delete Files Automatically: You can now use our API to delete aold files, making it easier to manage storage.

      Extract More Data with API Updates

      • Pull Data from Workflows: Our updated API now lets you access data directly from workflow forms, not just contract or vendor records. This means you can sync more information with other tools you use.

      Faster Contract Negotiations

      • AutoAction: Assign Master Draft: A new automation helps set an uploaded file as the official “Draft Version 1” immediately, so you can start reviewing contracts without extra steps.

      Improved Permissions & Bulk Updates

      • Easier Bulk Updates: Instead of updating entire records, you can now update only specific fields when making changes in bulk. This makes it quicker to keep data up to date.
      • More Flexible User Access: You can now assign access based on simple permissions, team roles and combine these with specific RBAC groups, giving you more control over who can see what.
