Gatekeeper AI - Now in Workflow Forms!

Expanding our AI capabilities, Gatekeeper now allows you to extract data and uncover insights in even more areas of the platform.

Within Contract Request Forms, you can upload contract documents (in Word or PDF format) and Gatekeeper will review and extract data to populate the core details of the form for you:

 

This is available in Authenticated Employee Portal forms and for Workflow Admins to upload directly on the Kanban board

Interconnect™ is a new orchestration addition to the Gatekeeper platform, connecting your existing applications with Gatekeeper, providing secure and efficient data flow across your organisation.

It can automate vendor and contract processes by integrating with over 1700 other applications (potentially even more, as long as they have an API), reducing the need for manual data transfer and ensuring real-time, trusted synchronisation between your various teams and systems.

Smart Forms - Workflow Provisional ("In Progress") Scores

If you're using Smart Forms to provide actionable insights about the quality of your Vendor & Contract data, then you also should have embedded these in your workflows - thus ensuring rigorous and repeatable processes get your data populated & reviewed to a high standard.

 

With this latest update, we allow for Smart Form Scores to be calculated live on a Workflow card (i.e. before they have been saved to your repository).

This is especially power for repeated/recurring Vendor Due Diligence and Risk assessments where you'll want to instantly be able to see whether scores have improved or declined from within a Workflow card:

If you're using our Risk Module to store, track & manage Vendor risks, you can now enable a simple setting to allow users to view existing Risks for Vendors linked to a card as well as create new Risks during a workflow process itself!

 

This works exactly the same as our Events on Workflows feature which we released in September this year.

New Vendor "File Count" Column

For Vendor Compliance and Due Diligence activities with rigorously defined documentation objectives, you can now perform a high-level check using a new column in the Vendor Repository.

By enabling the column System Data: Files, you’ll see a count of documents stored in each Vendor’s Files tab, providing instant verification that your core required documentation should be present:

 

API Updates

We have expanded the scope of data & processes you can use to connect Gatekeeper with other applications in your organisation's ecosystem (or "tech stack").

Update 1: Add Files to Gatekeeper via API

You can now use the API to copy documents into your Gatekeeper tenant, attaching them to Contracts, Vendors, Entities or Projects.

While importing documents via the API, you can also set key metadata values for the files like the Owner, Expiry Date, File Type and even whether they are Master Records (for Contracts)

 

Update 2: Start Workflow Cards via API

You can now use the API to initiate a Workflow in Gatekeeper, creating new cards on your kanban boards, pre-populated with data from other systems.

This means you can keep any existing Intake Forms and Software Processes you were using before Gatekeeper (like Jira/Typeform) and seamlessly connect these to a structured Contract or Vendor management workflow - all without any delay or time-consuming data-transferring!
