When using eNegotiate on a workflow, once all parties agree on the terms of the draft document, it must be converted to a final, executable state. The Publish Contract Draft & Convert MS Word to PDF action can be enabled on a phase, prompting the phase owner to confirm that the document is ready, and then convert it to a PDF format.
An email notification can be sent to the owner of that phase. They can click View form to view the card within the workflow.
Within the workflow card, click Publish once the document is ready to be converted to PDF.
Add any comments if required, then click Submit to confirm.
A new PDF version of the file will be created, and this action can be viewed in the version history:
This would normally complete the eNegotiate section of the workflow, and the card would be ready to transition to an eSign or Done phase.
Note: The Convert MS Word to PDF action is most effective for simple documents with minimal formatting. For larger or more complex documents, the Upload PDF action can be used to add a correctly formatted PDF directly to Gatekeeper.
