Configure Workflow Phase Approvals

This article will explain the various types of approvals that you can add to a workflow phase, and how to configure them.

Note: Before configuring workflow phase approvals, it's important to have an understanding of Workflow Terminology and Adding Phases to a Workflow.

What is an Approval?

An approval phase requires a decision using either Approve or Reject before the card can progress to the next phase.

Each decision is recorded in the card’s history, along with any comments provided at the time.

Transitions can be configured to route cards to different phases of the workflow depending on the outcome selected.

Approval Types

There are two types of approval:

  • Single: only one approval is required from a phase owner to progress the card. If multiple users are assigned as phase owners, approval from any one of them is sufficient to progress the card.
  • Parallel: approval is required from all assigned approval groups before the card can progress. They can review the card simultaneously, but all must approve for it to move to the next phase. Approvers can be defined using workflow groups, specific users, or values entered in form fields.

Conditional rules can be applied to both approval types, so that Gatekeeper can automatically determine who needs to approve a card based on the data entered in the form. For example, the IT team could be assigned to approve a card only when the contract category is Software.

Note: For parallel approvals, if any group rejects the card the transition rules will fire immediately. Any approvals made before the rejection will not be stored.

Configure a Single Approval

To enable a single approval for a phase, follow the steps below:

  1. Navigate to the workflow and click on the name of a phase to edit it.
  2. From Approval, select the Enabled radio button. The approval type will be selected as Single by default.

  3. Assign the reviewer from Form Access. See Configure Workflow Phase Access and Ownership for further details on assigning phase owners.

Allow Approval via Email

You can enable email approvals for a phase by selecting the Allow Approval via email checkbox.

When this option is enabled, assigned approvers can approve or reject directly from the approval notification email, without opening the workflow card in Gatekeeper.

Note: Comments cannot be added when approvals are completed via email. Approval via email is not available for parallel approvals, or when a mandatory checklist is configured for the phase.

Configure Parallel Approvals

To configure parallel approvals, follow the steps below:

  1. Navigate to the workflow and click on the name of a phase to edit it.
  2. Click the Approval section.
  3. Select the Enabled radio button, then select the Parallel radio button.
  4. Select from the dropdown lists to define who will be required to approve workflow cards.
    1. Users: Select one or more specific users.
    2. Teams: Select one or more teams.
    3. Workflow Groups: Select one or more predefined workflow groups.
    4. Fields: Select from any Workflow Group, User, or Internal Owner field (Dropdown or Multi-Select Dropdown) present in the workflow form.
  5. Select Simple or Conditional depending on whether approvers should always be the same or vary based on form responses. See below for guidance on each option.
  6. Once finished, click Save.

Simple

Select Simple when all assigned approvers should always be required to approve, regardless of the form content. You can add as many approvers as needed. No conditional logic will apply, and the ruleset will be marked as Always Active.

Conditional

Select Conditional to assign approvers dynamically based on form responses. Only the relevant approvers will be included depending on the values that have been submitted. For example, you may only require the IT team to approve a card if the contract category is Software Licensing

After selecting Conditional, click Add to define the conditions for this ruleset. Any combination of the workflow form fields can be used to build the conditional logic.

You can then click Add New Parallel Approval at the bottom of the rulesets to create another ruleset to include additional approval groups.

Note: Ensure conditional rules account for all possible scenarios. If a card does not match any of the defined rules, no approvers will be assigned.

FAQs

Can an approver change their decision after submitting?

No. Once an approval or rejection has been submitted, the decision cannot be changed. If a decision needs to be reversed, a Gatekeeper administrator will need to move the card manually. The original decision will remain visible in the card's history.

What happens if none of the conditional approval rules match a card?

If none of the conditional rules match the data on a card, no approvers will be assigned to that group and the card will remain on the phase with no phase owner. A Workflow Administrator or Local Workflow Administrator can assign an owner manually or action the card directly.

Will approvers be notified when a card is ready for their review?

If the Allow Approval via email checkbox is selected, the assigned approvers will receive a system-generated email notification, including details of the card and approve and reject buttons.

If this isn't selected, email alerts will only be sent if notifications have been enabled for card owners on the phase. See Configure Workflow Notifications for further details.

Note that for parallel approvals, reminder emails will only be sent to approvers who have not yet approved the card.

Can a card be approved on behalf of someone else?

If an approver is temporarily unavailable, they can set up a workflow delegation to ensure cards are not held up in their absence. See Workflow Delegation for more information.

A Workflow Administrator or Local Workflow Administrator can also action the card on behalf of another user.

Can the same user be in multiple parallel approval groups?

Yes. If the same user is included in more than one approval group, they can approve on behalf of any group they are a member of. When they click Approve, they will be prompted to select which approval group they are approving on behalf of.

Can I edit the approval configuration once a workflow is live?

You can edit the approval settings, but these will not apply to cards that are already in the phase. To apply updated settings to an individual card, open the card and click Re-enter current phase from the Controls tab.

If users are added to or removed from workflow groups, this updates immediately. The card does not need to leave and re-enter the phase.

Why can't the assigned approver see the form, or the Approve/Reject buttons?

Form visibility is configured separately from approvals. If all sections in a phase are hidden for a user, the workflow card will appear blank. If only some sections are hidden, the user will see the form but those sections will not be displayed. Visibility is configured per phase, and can be conditional based on the user.

This allows forms or sections to be hidden when the information is sensitive or not relevant to certain users. If users cannot see the required information, adjust the form visibility settings as needed.
