LuminIQ - Populate Contract Data Using Lumin Enrich

This article walks you through retrospectively populating empty fields in existing contract records using Lumin Enrich.

Note: An administrator must enable LuminIQ Data Extraction and configure the default values before Lumin Enrich is available to users.

What is Lumin Enrich?

Lumin Enrich retrospectively extracts and populates empty fields in contract records that already exist in your Gatekeeper repository. This is particularly useful for legacy records with incomplete metadata. 

  • Rather than updating records individually, you can target a filtered set of contracts in bulk. Gatekeeper processes each in turn, and you can view a summary of results once complete.
  • Lumin Enrich only populates empty fields. Existing values are never overwritten.
  • Contract records must have a master record file attached to be eligible for enrichment.
  • Only fields already marked for extraction and assigned to the contract's contract type will be sent for enrichment.

Note: Lumin Enrich is currently in beta. During this period, enrichment is limited to 100 contracts per batch.

Which Fields Can Be Enriched?

Lumin Enrich can populate the following fields from the core data model:

  • Vendor
  • Currency
  • Annual Value
  • Contract Type
  • Category
  • Entity
  • Contract Dates

Additionally, custom fields that are configured for extraction are also eligible. See LuminIQ - Custom Data Extraction for further details.

Enrich Contracts with Lumin Enrich

Note: Users require the Administrator role to enrich contracts.

To enrich existing contracts:

  1. From the navigation menu, expand the Vault, then click Contracts.
  2. Apply filters to the contract list to define the batch of contracts you want to enrich.
  3. Click Lumin Enrich.

  4. Select the fields you want to enrich. Select the checkbox next to a data group to include all fields within it, or expand a group to select individual fields. Click Select All to include all available fields across all groups.

  5. Click Enrich Contracts to confirm.

Each contract is processed in turn. While an enrichment is in progress, a banner will appear on any contract records, associated workflow cards, and the contracts bulk import page to indicate that work is in progress.

View Enrichment Results

After starting an enrichment job, you can track progress and view results as each contract is processed.

Each contract will show one of the following statuses:

  • Queued: the contract is waiting to be processed.
  • Processing: enrichment is actively running for this contract.
  • Completed: enrichment has finished. This appears whether fields were successfully extracted, skipped because they already had a value, or a combination of both.
  • Error: one or more fields encountered an error during extraction. Any fields that did successfully extract or were skipped will still show their individual results.

For each field, you'll see one of the following:

  • Extracted value: indicated by a green sparkle image-png-Feb-27-2025-03-14-43-7623-PM icon. Lumin Enrich successfully found and populated the field.
  • Not Found: Lumin Enrich could not find a value for this field in the file.
  • Skipped: The field already had a value and was not overwritten.
  • Error: indicated by a warning error  icon. Hover over this to view the error details. 

If you navigate away, you can return to this view by clicking Lumin Extract from the navigation menu, then the Lumin Enrich tab. This displays a list of all ongoing and historic enrichment jobs.

FAQs

Do I get to review extracted values before they're applied?

Enriched values are applied to contract records automatically. You can view the results from the Lumin Enrich tab and navigate to individual contracts to make any changes manually if needed.

Can I enrich contracts of any status?

Yes. Use the filters on the contract list to target whichever statuses you want to include before starting the enrichment.

Can extracted values be changed after the enrichment is complete?

Yes, once enrichment has processed, you can update any field directly on the contract record in the usual way.

How many contracts can I enrich at once?

You can enrich up to 100 contracts per batch while Lumin Enrich is in beta.

It's recommended to use filters to target specific subsets rather than your entire repository at once.

Can sensitive fields be enriched?

Yes, but only if you have access to sensitive data. If you don't have the relevant permission, sensitive fields won't appear in the field selection list and can't be included.

What happens if a contract or field is updated while an enrichment is running?

If a field is manually updated between submission and processing, only that field is skipped, the rest of the contract is still enriched.

If the master record itself is updated or deleted while an enrichment is running, that contract is skipped entirely and no values will be applied to it.
